1. Who we are

Prenota is a scheduling platform connecting aesthetics and wellness practices with the vendors who serve them, operated by Prenota LLC, a Delaware limited liability company with its registered office at 2810 N Church St PMB 218773, Wilmington, Delaware 19802. This policy describes what we collect through joinprenota.com and why. It is written for business users; Prenota is not a consumer product.

2. What we collect

Account information: your name, email address, and sign-in credentials (passwords are handled by our authentication provider and never visible to us).

Business profile information you choose to enter: clinic details (name, location, categories, availability, meeting preferences, door policy, dietary notes, team roster including names, roles, and NPI numbers where a clinic adds them), and vendor details (title, company, lines represented, territory, uploaded credential documents).

Activity on the platform: meeting requests and bookings, messages between meeting parties, attendance records and meal costs entered for expense documentation.

Payment information: handled entirely by Stripe. Card numbers never touch Prenota's systems; we store only subscription status, plan, and billing dates.

Technical basics: authentication cookies and standard server logs. We do not run third-party advertising or tracking cookies.

3. What we deliberately do not collect

Prenota is not for patient data. Do not enter patient or medical information anywhere on the platform. Staff rosters describe a clinic's own team for meeting and catering purposes, not patients.

4. How we use information

To run the product: matching clinics and vendors by territory and category, showing availability, booking meetings, delivering messages, generating calendar invites, and producing the expense exports vendors request.

To communicate: booking confirmations, declines, cancellations, reminders, and account notices, sent from our own email addresses.

To operate the business: billing through Stripe, support through info@joinprenota.com, and keeping the platform secure.

We do not sell personal information, and we do not share it with advertisers.

5. What other users see

Prenota is a two-sided platform, so sharing between counterparties is the product working as intended. Vendors with an active plan see clinic pages that match their territory and category, subject to each clinic's door policy. Clinics see vendor profiles, companies, and credential badges. Parties to a meeting see the messages, attendee records, and details of that meeting. If a clinic turns on its public booking page, the information on that page is visible to anyone with the link.

6. Service providers

We use a small set of processors to run Prenota: Supabase (database, authentication, and file storage, hosted in the United States), Stripe (payments), Resend (email delivery), Daily (video meeting rooms), Vercel (application hosting), and Cloudflare (domain and inbound email routing). Each receives only what it needs to do its job.

7. Retention and deletion

We keep account and booking records while your account is active, because counterparties rely on shared history (confirmations, attendance records, expense exports). To close an account or request deletion of your information, email info@joinprenota.com and we will act on it promptly, keeping only what the law or legitimate business records require (for example, billing history).

8. Security

Traffic is encrypted in transit. Credential documents are stored in private storage accessible only through short-lived, access-checked links. Access to production data is limited to the operator. No system is perfectly secure; report any concern to info@joinprenota.com and we will investigate quickly.

9. Your choices

You can view and edit your profile and clinic information in the portal at any time, unsubscribe from non-essential email, and request a copy or deletion of your information at info@joinprenota.com. Prenota is not directed to anyone under 18.

10. Changes and contact
